1.0 Purpose

1.1 To achieve and maintain optimum water utilization across the organization, minimizing wastage and promoting sustainable water use.1.2 To minimize water costs and consumption without compromising production efficiency and product quality.1.3 To identify and reduce risks associated with water use.1.4 To ensure compliance with the Alliance for Water Stewardship (AWS) Standard, ensuring the siteu2019s water use is socially equitable, environmentally sustainable, and economically beneficial.

2.1 This procedure applies to all water uses and water-related processes in all departments and operations of Tobacco Processors Zimbabwe (TPZ).

2.2 It includes energy and water use and discharge across the site, supply chain, catchment, and natural resource interfaces.

2.0 Scope

3.0 Responsibility

3.1 Responsibilities and authorities for this procedure are spread across various functions and defined within this procedure.

3.2 The SHE Manager oversees water audits, data collection, and AWS conformance and coordinates integration of water stewardship within the integrated management system.

3.3 The Engineering Manager is responsible installation, service and maintenance of water infrastructure.

3.4 The Procurement Manager communicates with relevant stakeholders on water management

2.0 Water Data Collection
2.1 The SHE department records water generation and consumption daily from all water sources. SHE Manager
3.0 Water Monitoring Equipment
3.1 All flow meters must be calibrated or verified periodically. Calibration records shall be maintained. Engineering Manager
4.0 Water Balance and Risk Assessment
4.1 A site water balance for generation, consumption and storage will be generated monthly and annually SHE Officer
4.2 A register of shared water challenges and company water risks including operational, regulatory, climate-related, catchment, impacts etc. to be generated and maintained. SHE Officer
5.0 Water Baseline
5.1 Figures for water baselines are calculated by averaging 3 yearsu2019 performance. Departments should periodically evaluate their performance against the baseline. Relevant Departments
6.0 Performance Monitoring
6.1 After analyzing water performance, identify significant water aspects (SWAs) that require improvement. Relevant Departments
6.2 Set Water Performance Indicators (WPIs) and track against baselines to ensure continuous improvement. Root cause analysis and corrective actions to be implemented if consumption is greater than a threshold of 5%. Relevant Departments
7.0 Performance Reporting
7.1 Relevant Departments shall submit monthly water performance reports to the SHE department for consolidation. Relevant Departments/SHE
7.2 Consolidated information is communicated to senior management for further review and decision making. SHE
8.0 Stakeholder Engagement
8.1 Identify and engage with catchment-level stakeholders including: Local communities Water authoritiesEnvironmental agencies Other local water users SHE Manager
8.2 Engage stakeholders will be engaged for the company to understand shared water challenges and align efforts. Maintain records of consultations. SHE Manager
9.0 Water Quality and Compliance Monitoring
9.1 Monitor incoming and outgoing water quality in line with regulatory and AWS requirements. SHE Manager
9.2 Ensure compliance with discharge permits and effluent standards.
10 Internal Audits (Water Stewardship)
10.1 Water data shall be considered when formulating the IMS audit programme. Auditors eligible to conduct IMS audits should have undergone water audit training. IMS Superintendent
11 WASH Compliance
11.1 Access to safe water, sanitation, and hygiene (WASH) for all shall comply with national laws and AWS requirements. Engineering & SHE Managers
11.2 Ensure proper wastewater treatment and disposal as per local and AWS standards. Engineering & SHE Managers

12 Disclosure
12.1 Publish an Annual Water Stewardship Report aligned with AWS Standard. Include stakeholder concerns and feedback and certification status Relevant Departments / SHE

13 Procurement for Water Efficiency
13.1 Ensure procurement of water use equipment considers water efficiency, life cycle impact, and AWS criteria. Procurement Manager
13.2 Suppliers must be informed that water stewardship is a key consideration. Include it in tenders, contracts and supplier evaluation. Procurement Manager
